Document requirements

Kenya

Here’s what we need to verify your business in Kenya. Have these documents ready before you sign up and onboarding takes less than 15 minutes.

Checklist

  • Business registration document

  • CR12 or shareholder register, if shareholders aren’t listed on your registration document

  • ID for your legal representatives and main shareholders

  • KRA PIN certificate

  • Proof of business address

If your business operates in a regulated sector (for example financial services, money transfer, transport or healthcare), we’ll also need a copy of your licence or operating permit. Not sure if this applies to you? Just ask us.

1. Business registration document

Certificate of Registration from the NGO Coordination Board or the Registrar of Societies

Sole Proprietorship / Business Name

Certificate of Registration of Business Name from the BRS

The document must be valid and issued by an official government authority.

2. CR12 or shareholder register

Only needed for private limited companies whose Certificate of Incorporation doesn’t list the shareholders. The CR12 (Certificate of Official Search from the Business Registration Service) confirms your current directors and shareholders. It must show:

  • Your company’s registered name, and trading name if different

  • Your company number (registration number)

  • Your registered business address

  • The full names of your directors and shareholders

  • A description of your business activity

Sole traders can skip this step. NGOs and societies need to provide their constitution or by-laws together with their Certificate of Registration.

3. ID documents

Legal representatives

We need a valid ID for anyone with the power to legally represent the company. This is usually a director, but it can also be anyone formally granted signing authority or power of attorney. You’ll find who qualifies in your registration documents or any board resolution.

Shareholders

We need an ID for each shareholder who owns 25% or more of the company. After reviewing your file, our compliance team may ask for IDs of additional shareholders.

Accepted IDs

  • Passport

  • National ID (Kenyan citizens)

  • Driver’s license

Every ID must be valid and not expired.

4. KRA PIN certificate

Your company’s PIN certificate issued by the Kenya Revenue Authority (KRA).

5. Proof of business address

The document must be less than 6 months old (lease agreements are accepted regardless of date).

  • Utility bill: electricity (KPLC), county water, internet or phone

  • Bank statement, dated and in the company’s name

  • Lease agreement or rent receipt

  • If none of these are available, a site visit by our team
